Departure Day Checklist & Important Information
Today is Departure Day!
Please carefully review the checklist below to ensure a smooth and stress-free start to your adventure.
✅ Departure Day Checklist
- ⏰ Arrive at the airport at least 3 hours before departure.
This allows enough time for check-in, luggage drop, and security clearance. - 🛂 Ensure all travelers have their valid passport.
Passports must be valid for at least 6 months beyond the return date of the trip. - 🎫 Bring your flight itinerary and e-ticket information.
Printed or digital copies are both acceptable. E-Tickets will be found in the Smart Phone App. - 💼 Check baggage allowances and label all luggage clearly.
Include your name, phone number, and destination contact info on tags. REMEMBER, the luggage allowance mentioned in the Smart Phone App is the one to follow as any internal flight on tour may have a lower luggage allowance than your trans-Atlantic one. - 💊 Carry any essential medications in your carry-on.
Keep them in original packaging, with prescriptions if needed. - 🔌 Pack chargers, travel adapters, and any electronics in your carry-on.
- 💳 Bring a small amount of local currency or a credit card for initial expenses.
- 📱 Make sure your phone is fully charged and has international roaming or Wi-Fi access if needed. Consider activating an E-Sim when on the road to save money on roaming cost.
- 🧳 Double-check your packing: documents, money, medication, clothing, and personal essentials.
✅ Pre-Flight Checklist
- 📱 Find your e-ticket receipts in the Lingo Tours Travel App.
- 📅 Double-check your full travel itinerary at least 24 hours before takeoff.
- ⏰ Plan ahead and arrive at the airport at least 3 hours prior to departure for check-in, security screening, and boarding.
- 🛂 Carry valid travel documents (passport, visa if applicable).
It is each passenger’s sole responsibility to meet airline, airport, and destination entry requirements.
Helpful sites: TSA, CDC, airline websites, and destination embassy pages.
⚠️ What To Do If You Experience Disruptions
If your group encounters any travel disruptions, stay calm and follow these steps:
✈️ Cancellations or Delays
- Immediately seek assistance from gate agents or airline staff.
- At this stage, your tickets are under airport control and the airline is responsible for helping your group.
- Do not leave the airport until your group has been rebooked and all travelers are accounted for.
🔁 Tight or Missed Connections
- If you’re concerned about a tight connection or miss your connection, speak with a gate agent immediately.
- The airline has full access to your tickets and is responsible for providing alternate flight options.
🧳 Missing Baggage
- File a lost baggage report with airline staff before leaving the airport.
- Provide your personal mobile number and the hotel info found in your Lingo Tours Travel App.
💵 Reimbursement Eligibility
- We can advise on reimbursement eligibility based on the airline’s policy.
- Note: Weather-related disruptions are considered “acts of God” and generally not refundable.
⚠️ Reminder: Lingo Tours cannot change tickets once they are under airport/airline control.
💼 Final Reminders
- Stay with your group and communicate through the group chat or with your Tour Leader.
- Be patient through airport procedures—security and boarding may take time.
- Keep essential items (medication, documents, electronics) in your carry-on.
- Pack a positive attitude—we’re headed for an unforgettable adventure!
